Understanding Time Cards

Knowing how long each activity takes helps you create more accurate estimates and set realistic expectations for your projects β€” making tracking time a vital part of managing projects.

Rodeo Drive's Time Tracking feature allows you to manage your own time, your team's time, and the schedule of time cards all within a single place.

Only users with Administrator, Finance Manager, or Project Manager roles can create and manage time cards for the team. Learn more about roles and permissions here.


Creating a time card

A time card is a useful way to keep track of multiple people working on a single project, as well as multiple people working on multiple projects concurrently. Time cards improve project execution, compliance, and decision-making.

In Rodeo Drive, you can create time cards for billable or non-billable hours. Billable would be any time recorded that you will bill a client for, while non-billable includes; holidays, sick leave, meetings, training, doctor, and so on.

Adding non-billable time cards helps you better manage and assign tasks based on who is available and when. Let's break down the steps to create time cards into billable and non-billable:

Billable time card

Follow these steps to create a billable time card in Rodeo Drive:

Step 1: Navigate to the Time page located at the top menu bar.

Step 2: The time page displays time cards in a weekly view format. To add a billable time card for a specific date, use the navigation arrows next to the 'This week' button at the top, or click the calendar icon to select a date directly. Click the 'This week' button to return to the current week's view.

Step 3: Now, click the 'Add time' button located at the top right corner of the screen. If there are no existing time cards for the selected week view, you'll also see the option to click the 'Start tracking' button at the center of the screen.

Step 4: A dialog window will pop up with multiple fields that must be filled out. The first field dropdown defaults to 'Billable.' Simply select the project and budgeted activity to link this time card.

Step 5: Once you have selected the project and activity, click Add time to create your new time. This will create a row for the selected week.

Non-billable time card

To create a non-billable time card, follow these steps:

Step 1: Navigate to the Time page located at the top menu bar.

Step 2: The time page displays time cards in a weekly view format. To add a non-billable time card for a specific date, use the navigation arrows next to the 'This week' button at the top, or click the calendar icon to select a date directly. Click the 'This week' button to return to the current week's view.

Step 3: Now, click the 'Add time' button located at the top right corner of the screen. f there are no existing time cards for the selected week view, you'll also see the option to click the 'Start tracking' button at the center of the screen.

Step 4: Once the dialog window pops up, click the first field dropdown (which defaults to 'Billable') to select the type of non-billable time. You'll then be prompted to enter the date(s) and duration.

By leaving the 'Use default schedule' box checked, your hours for those days will be automatically filled based on the default schedule set in your profile. If you uncheck that box, a new field will appear with a '0' value where you can enter the time duration for the selected date.

Step 5: Once you have selected the period and time, click Add time to create your new time.


Adding time to an existing time card

There are two ways to add time to an existing time card:

  • Through Rodeo Drive's time tracking tool, or

  • By entering the time spent to the corresponding time card's date.

We will only cover the latter in this article, but you can learn how to track time in real-time here.

To record time spent on an activity, go to the Time page and locate the time card for the time activity you wish to track. If you don't see the time card you're looking for on the first screen, use the navigation arrows next to the 'This week' button at the top, or click the calendar icon to select a date directly.

Locate the time card corresponding to the activity you wish to add time to. Click on the relevant box corresponding to the date you intend to log time for. Use your keyboard to type the time amount in the format HH:MM and press Enter/Return key to record it, as shown in the example below:

If you need to adjust the time entered or delete it, double-click on the corresponding box to select the time and either press the Delete/Backspace key or type in a different time.

Note: Entering a number from 1 to 24 will result in adding hours for that length. For example, typing '10' will record ten hours. If you wish to input ten minutes, you must type '00:10'. If you enter a number over 24 and press Enter/Return key, it will record as 24:00 hours.


Transferring a time card's tracked time to a different activity

If you logged time to the wrong time card activity you can either delete it or transfer to another time card, whether on the same project or not:

  1. Go to the Time page and locate the time card you wish to edit using the navigation arrows next to the 'This week' button at the top or clicking the calendar icon to select a date. You will see all the time cards created for that particular week period.

  2. Click the more icon located on the right side of the corresponding time card and select 'Edit time'.

  3. A dialog window will pop up where you can select the 'Project' or 'Budget activity'.

Note: You cannot change a billable activity to non-billable or vice versa.


Removing a time card

To delete a time card:

  1. Go to the Time page and locate the time card you wish to edit using the navigation arrows next to the 'This week' button at the top or clicking the calendar icon to select a date. You will see all the time cards created for that particular week period.

  2. Click the more icon located on the right side of the corresponding time card and select 'Delete time'.

  3. Click Delete to confirm your choice on the dialog.


How to record time on another user's time card

If you have Administrator, Finance Manager, or Project Management roles in Rodeo Drive, then you can create and manage time cards for other users in the team.

At the top of the Time page, you will see a box dropdown, likely with your name on it. Click on the down arrow to select the user in your team that you wish to create a time card.

Once selected, you will be able to add, edit, or remove time cards for that user by following the steps in this article according to the action you want to take.
