Learn all about the new and improved Planner in Rodeo Drive.

Rodeo Drive's planner helps establish clear timelines, prioritize tasks, and track project progress, ensuring that deadlines are met and goals are achieved. You can plan activities from two views: project or people.

Only users with Administrator, Finance Manager, or Project Manager roles can use the planner feature. Team Members and Guests can see the activities that they’ve been assigned to but they cannot plan or assign activities on behalf of others. Learn more about roles and permissions here.


Planning a project

In Rodeo Drive, all features and activities are connected to a project and its budget. For that reason, you can start using the Planner once you have created a project.

A project must consist of at least one phase and one time activity. You also need to add project collaborators under the Team tab of a project to be able to assign the right members for that project.

Planning through the Project view

Follow these steps to plan a project's time activities while in the project view:

Step 1: Navigate to the Planner page located on the top menu bar. Once in the planner, use the < > arrows or click the calendar icon at the top left to move to the intended date.

Step 2: Then, on the project view, locate the project you wish to plan for by clicking the dropdown as shown below:

Step 3: Click the square under the date you want the activity to begin. Then, fill out the fields in the dialogue and click 'Schedule' when you're finished.

Step 4: Once an activity is scheduled, you will see a new progress bar matching the color of the phase. If a team member has been assigned the activity their avatar will show beside the Activity name.

Panning through the People view

To plan an activity when in the people view:

Step 1: Navigate to Planner located on the top menu bar. Use the < > arrows or click the calendar icon at the top left to move to the intended date.

Step 2: Click the People tab on the top left. You see a list with all workspace members on the left side. Use the dropdown menu to select the specific member you are assigning the activate for:

Step 3: Click the square under the date you want the activity to begin. Then, fill out the fields in the dialogue and click 'Schedule' when you're finished.

Step 4: Once an activity is scheduled, you will see a new progress bar matching the color of the phase.

Note: If you are a Project Manager and your team member is scheduled for a different project you are not a member of you will not see the specific activity they are scheduled for but will see "Busy."


Readjusting a Phase timeline from the Planner

Changing the Phase color

  1. If you want the assigned color of a Phase to be different, you can choose a new one by clicking on the colored line of the Phase.

  2. A window will pop up where you can choose a new color for the phase.

Change the Phase start or end date

  1. If you want to adjust the start or end date of a Phase directly from the planner, you can adjust it by clicking on the colored line of the Phase.

  2. A window will pop up where you can change the start date and end date of the Phase.


Troubleshooting the Planner

Finding a Project in the Planner

If you are unable to locate your Project within the Planner, there are 3 possible solutions:

  • Confirm the dates of the Phase match the dates you are viewing on the Planner

  • If needed, use the Project filter to more easily view the Project

Drag and Drop an Activity

If you want to adjust the start or end date of an Activity you can drag the end of the colored bar to extend the date in either direction.

Change the Assignee of an Activity

If the assigned person for an Activity needs to change:

  1. Click on the colored bar for the activity.

  2. A window will pop up, go to the assignees' section.

  3. Click the X next to the name of the current person assigned the Activity.

  4. Select the drop-down arrow to choose a new team member for the Activity.
